We collect what’s required to process.
See details below.
Important: Orange County Apostille is not the Orange County Clerk-Recorder, any County Clerk office, the California Secretary of State, the U.S. Department of State, or any embassy/consulate. We are an independent service provider that assists clients with document preparation, processing, logistics, and submissions.
Covers scope of services, no-government-affiliation notice, no-refund policy, liability limitations, client duties, and protections.
Explains what we collect, why we collect it, how we protect it, and how third-party services may be involved in processing.
1) Scope & Definitions
This Legal Disclosure/Privacy Policy (“Policy”) applies to your use of Orange County Apostille’s website and services. By submitting documents, uploading files, or otherwise requesting processing, you agree to the terms below.
- “Services” may include apostille processing, notarization coordination, embassy/consulate legalization workflow support, certified translation coordination, document review, courier coordination, mailing/return logistics, and status updates.
- “Client Materials” include documents, IDs, instructions, destination-country requirements, addresses, shipping selections, and any content you upload or provide.
- “Authorities” include state, federal, county, foreign embassies/consulates, and any third-party entities that control acceptance/issuance or authentication steps.
2) No Government Affiliation
Orange County Apostille is a private company. We do not represent any government agency and do not control processing times, acceptance, or the final decision to issue an apostille/authentication/legalization. Government offices and foreign missions may change requirements, hours, procedures, or acceptance standards at any time.
3) Service Availability (Including 24/7)
We provide 24/7 apostille, notary, embassy legalization, and translation services in the sense that requests can be initiated at any time and processing/coordination can occur outside standard business hours where feasible. However, issuance steps handled by Authorities occur only when those offices are open and accepting submissions.
4) Client Responsibilities & Accuracy
- Accuracy: You are responsible for ensuring names, dates, places, and document content are correct and consistent.
- Destination requirements: You must confirm the receiving country/agency requirements (apostille vs. embassy legalization, translation rules, certified copies, etc.).
- Originals & condition: You must provide documents in acceptable condition. Damaged, altered, laminated, incomplete, or unofficial copies may be rejected.
- Timelines: You acknowledge processing times can vary due to Authority backlogs, policy changes, holidays, mail delays, and third-party carrier disruptions.
5) No Refund Policy
No refunds are provided once work has begun, including (without limitation) document review, preparation, printing, packaging, travel/courier coordination, submission attempts, translation work, notarial coordination, queueing, research, administrative processing, or any step that consumes time or resources.
If a government Authority rejects a document due to factors outside our control (e.g., document ineligibility, missing certification, mismatch, outdated form, destination rule changes), our service time and administrative work have still been performed and are not refundable.
6) Limitation of Liability & Release of Claims
To the fullest extent permitted by law, you agree that Orange County Apostille will not be liable for indirect, incidental, special, consequential, punitive, or exemplary damages, including loss of use, lost profits, travel costs, missed deadlines, or reputational harm, even if advised of the possibility.
- Authority decisions: We are not liable for rejections, delays, holds, or changes imposed by any Authority.
- Carrier risk: Shipping and courier services are subject to loss, theft, damage, misdelivery, weather delays, and scanning issues.
- Document integrity: You release us from claims arising from document defects, inaccurate records, or issues inherent to Client Materials.
If liability is imposed despite the above, our total aggregate liability for any claim related to the Services shall be limited to the amount you paid for the specific service request at issue (excluding third-party fees), where permitted by law.
7) Indemnification
You agree to defend, indemnify, and hold harmless Orange County Apostille, its owners, contractors, and agents from any claims, liabilities, damages, losses, and expenses (including reasonable attorney fees) arising out of or related to: (a) your Client Materials, (b) your breach of this Policy, (c) your instructions, or (d) your violation of any law or third-party rights.
8) No Legal Advice
We provide administrative support and document-processing services. We do not provide legal advice, immigration advice, or official government determinations. If you need legal guidance, consult a licensed attorney or the relevant Authority.
