Apostille vs. Embassy Legalization: What Your Destination Country Requires

“Do I need an apostille or embassy legalization?” The answer depends entirely on one thing: which country your document is going to. Getting this right the first time saves weeks. Here’s the difference, in plain terms.

It comes down to the Hague Apostille Convention

The Hague Apostille Convention is an international treaty that created a single, standardized certificate — the apostille — so member countries can accept each other’s documents without extra steps. Whether your destination is a member decides everything.

Hague member country

Your document needs just an apostille from the correct state or federal authority. One certificate, and you’re done. This covers most of Europe, much of Latin America, and well over 120 countries in total.

Non-Hague country

Your document needs full embassy or consulate legalization: a multi-step chain ending with a stamp from the destination country’s embassy or consulate in the U.S.

What embassy legalization involves

For non-Hague destinations, a document typically moves through several stages:

  1. Notarization (if the document requires it) and certified translation if the consulate asks for it.
  2. State authentication by the issuing state’s Secretary of State.
  3. Federal authentication by the U.S. Department of State, when required.
  4. Consulate legalization — the destination country’s embassy or consulate applies the final stamp.

Because it involves more offices, legalization usually takes longer than an apostille — which is exactly why it’s worth confirming your document’s path before you begin.

Membership changes. Countries join the Convention over time. Canada (2024), China (2023), and Vietnam have all moved to the apostille system in recent years. Always confirm current requirements for your specific destination — we do this for you with every order.

How to be sure

You don’t need to memorize which countries are members. Tell us the destination country when you start your order, and we’ll confirm whether you need an apostille or full legalization — and then handle the entire process, whichever it is. We work with documents from any U.S. state or federal agency, for clients across the country.
