At Orange County Apostille, we specialize in helping students, professionals, and academic institutions authenticate educational documents for international use. Whether you are applying to a foreign university, pursuing employment abroad, or seeking professional licensing in another country, we make the process of obtaining an apostille for your academic records simple, fast, and fully compliant with California and U.S. requirements.

Our experienced team handles the authentication of high school diplomas, college degrees, official transcripts, letters of recommendation, certificates of completion, and other educational credentials. We work directly with the California Secretary of State, relevant school registrars, and authorized notary publics to ensure your documents are properly prepared for apostille certification.

Why You Need an Apostille for Academic Records

An apostille is an official certificate issued under the Hague Apostille Convention of 1961 that verifies the authenticity of a public document so that it can be legally recognized in another member country. Educational institutions, licensing agencies, and immigration authorities in other countries often require apostilled academic records to confirm the validity of your education.

You may need an apostille for your diploma or transcript if you are:

  • Enrolling in a foreign university or graduate program

  • Applying for a student visa or work visa abroad

  • Seeking teaching credentials in another country

  • Completing a foreign equivalency evaluation

  • Applying for dual citizenship that requires proof of education

  • Presenting academic history for immigration or legal purposes

If your academic record was issued in California, we can help you get it apostilled at the California Secretary of State. If your document was issued in another U.S. state or at the federal level, we can help you route it to the appropriate Secretary of State or federal agency for processing.

Step-by-Step Process: How to Apostille Your Academic Records

We offer two methods for submitting your documents: in-person appointments at our Orange County office, or mail-in services for clients located anywhere in the U.S. or abroad.

Step 1: Document Preparation

Before we can process your academic records for apostille, the documents must meet certain requirements. Depending on the document and its issuer, there are two accepted formats:

A. Original Document with Registrar’s Signature

Many schools and universities issue original diplomas or transcripts that are signed and sealed by a registrar or academic official. If the signature on your document is already on file with the California Secretary of State, we can submit it directly for apostille.

B. Notarized Copy

If your original document is not signed by a recognized official, or if you only have a copy, we can assist with having a certified copy notarized by a California Notary Public. This notarized copy can then be submitted for apostille certification.

Note: For diplomas, we recommend using certified true copies that are notarized. For transcripts, schools can often issue sealed official versions that are already eligible for apostille.

Step 3: Apostille Processing

Once we receive your documents:

  • If not, we notarize a certified copy on your behalf

  • We submit the documents to the California Secretary of State or relevant authority

  • Once completed, we ship your apostilled documents back to you using tracked and insured delivery

Processing times vary depending on whether the signature is on file and the current turnaround at the Secretary of State, but most academic apostilles are completed within 1–2 business days once prepared.

Frequently Asked Questions

Common questions about our services and products.

We can apostille a wide range of academic records, including high school diplomas, GED certificates, college or university diplomas, official transcripts, letters of graduation or enrollment, and certificates of completion. We also handle vocational school certificates and recommendation letters issued by academic institutions. The documents must either be signed by an academic official whose signature is on file with the Secretary of State, or be notarized as true copies before submission. If your document doesn’t meet these requirements, we can help prepare it properly. Our team ensures each academic record is eligible for apostille certification for international use.

Not necessarily. While some academic documents can be apostilled in their original form—especially if they’re signed by a school registrar—we can also apostille notarized copies. If you do not have the original, we will help you create a certified true copy and have it notarized in accordance with California notarial law. This allows us to submit the copy to the California Secretary of State for apostille. In many cases, this is the preferred method, especially for diplomas.

Once your academic document is properly prepared and ready for submission, the apostille process typically takes 1 to 2 business days. If additional notarization is required, that step may add a short amount of time depending on your availability. Rush options and same-day processing may be available for certain types of documents. Our office keeps you updated throughout the entire process. We also provide expedited mail-back with tracking for your convenience.

Yes, we can help with academic documents issued in any U.S. state, not just California. For documents from out-of-state schools, we assist with routing them to the appropriate Secretary of State that has jurisdiction over that document. We’ll determine whether the document needs to be notarized or certified before submission. This national coverage allows us to serve clients from all over the country. If your school is located internationally, we can still help prepare your U.S. records for recognition abroad.

Countries that are members of the Hague Apostille Convention of 1961 accept apostilled documents as official and legally recognized. This includes nations such as Spain, Italy, Mexico, South Korea, Germany, France, the United Kingdom, Japan, and over 120 others. If you are submitting academic credentials for university enrollment, work permits, or visa applications in one of these countries, an apostille is the correct form of authentication. If the destination country is not part of the Apostille Convention, we can guide you through the embassy or consulate legalization process instead.

If the academic official’s signature is not registered with the California Secretary of State, the document cannot be apostilled in its original form. In this case, we can assist you in creating a notarized certified copy of the document, which can then be submitted for apostille. Our notaries are experienced in handling academic documents and follow proper procedures to ensure acceptance. This step allows us to continue the process even when school officials are not directly involved. We will explain your options clearly before moving forward.

In most cases, you should not open a sealed official transcript unless advised otherwise. If the transcript was issued in a sealed envelope with the registrar’s signature across the flap, it should remain sealed for the apostille process. If the signature is verified by the Secretary of State, we can apostille it directly. If additional notarization is required, we may guide you through creating a notarized copy instead. Our team will review your transcript and determine the correct submission procedure.
